At Biking the Philippines, we strive to provide exceptional, well-organized tours while maintaining clear and fair policies that protect both our guests and our operations. Please read the following Cancellation & Refund Policy carefully, as it outlines the conditions under which refunds, credits, exceptions, and operational contingencies apply.
1. Reservation & Payment Terms
Deposit Requirement
A non-refundable deposit equal to 50% of the total tour cost is required to confirm and secure your reservation.
Your tour is not considered booked until the deposit has been received.
Final Payment
The remaining balance must be paid on or before the first day of the tour before departure.
2. Cancellation & Refund Schedule
Cancellations Made More Than 90 Days Prior to Tour Start
- 50% of the deposit will be refunded.
- Alternatively, guests may request to transfer their deposit to a future tour within 12 months (subject to availability).
Cancellations Made 90 Days or Less Prior to Tour Start
- The deposit becomes 100% non-refundable.
- At our discretion, and subject to availability, a partial credit toward a future tour may be considered, but this is not guaranteed.
No-Show on Tour Start Date
- Guests who fail to appear for the scheduled start of the tour forfeit all payments.
- No refunds, credits, or rescheduling will be provided.
3. Tour Operation Guarantee — “We Depart With or Without a Group”
Biking the Philippines does not require a minimum number of participants for any scheduled tour.
- Tours will operate regardless of how many guests join, even if only one (1) guest is confirmed.
- Guests acknowledge that there is no guarantee of a group size, and actual participant numbers may change at any time due to late bookings or cancellations.
- A smaller group size does not constitute grounds for cancellation, refund, or tour price adjustments.
This ensures that every confirmed guest can rely on their tour to proceed as scheduled.
4. Exceptions & Special Considerations
We understand that unforeseen circumstances may arise. While our standard policy applies in most situations, the company may—at its sole discretion—offer reasonable resolutions such as partial credits or date changes in the event of:
- Medical emergencies
- Natural disasters affecting the guest’s home region
- Government travel restrictions
- Airline cancellations that leave no alternative routing
Any exceptions granted will be handled on a case-by-case basis and are not guaranteed.
Guests are strongly encouraged to obtain comprehensive travel insurance, including coverage for trip interruptions, cancellations, medical emergencies, and personal circumstances.
5. Cancellations by Biking the Philippines
Biking the Philippines reserves the right to cancel or modify a tour due to:
- Severe weather or environmental dangers creating safety risks
- Government-imposed closures or restrictions
- Situations deemed unsafe or operationally impossible
In such cases, guests will be offered one of the following:
- Reschedule to a future date at no additional cost
- Full credit toward any future tour
- Full refund, if rescheduling or credit is not possible
This clause does not apply to cancellations caused by insufficient participants, as tours always proceed regardless of group size.
6. How to Cancel or Request Changes
All cancellations and modification requests must be submitted in writing to:

7. Acceptance of Terms
By placing a booking and submitting a deposit, the guest confirms that they have:
- Read, understood, and agreed to this Cancellation & Refund Policy
- Accepted that tour group sizes are not guaranteed
- Accepted responsibility for acquiring suitable travel insurance
8. Policy Updates
Biking the Philippines may amend or update this policy at any time. Any revisions will be posted on our website and will apply to all new bookings from the date of publication.
